Secretary & Admin Assistant

Job Responsibilities

  • Manage and maintain sales executives’ schedules, appointments, and travel arrangements to optimize their time.
  • Assist front-line sales in preparing proposal letters and documents, and submit sales proposals accurately and on time according to customer deadlines.
  • Coordinate and execute logistics for sales meetings and events, including venue selection, catering, and material preparation.
  • Manage incoming and outgoing correspondence (emails, letters, phone calls) and relay messages promptly.
  • Act as a point of contact between management, staff, and external parties including other departments from back office / regional HQ to ensure alignment and address issues.
  • Manage inventory of sales materials and promotional items for presentations and client meetings.
  • Oversee organization and archiving of sales contracts and agreements, ensuring they are filed and retrievable for reference or compliance.
  • Process new applications for cash advances, invoice approvals, payment requests, vendor registrations, and other admin tasks.
  • Arrange hotel / flight reservations and complete travel requisitions for the local sales team.
  • Ensure the office environment is clean, organized, and professional.

Qualifications & Experience

  • Pharmaceutical engineering Master (graduated in 2021) with mathematics baccalaureate.
  • Almost 2 years in the pharmaceutical industry, experience in quality control of production, reporting, root cause investigation, documentation handling, and operating packaging processes in two manufacturing plants.
  • Internships in Jet fuel analysis & quality control (Fuel & LPG Algerian Utility NAFTAL, 100% SONATRACH Group).
  • Internship in Physico-chemical analysis of products in a plant (MEDICAL SURGICAL INDUSTRIES).
  • Internship at BEKER Laboratories with chromatograph analysis to reduce impurity and degradation.
