The World Aquatics Training Centre in Bahrain is launching an exciting initiative for swimming and diving scholarship holders. This programme aims to support talented athletes in both their athletic and academic development, providing world‑class training and development opportunities.
World Aquatics is seeking a dedicated Scholarship Programme Coordinator to support the Scholarship Programme Manager. This role is key to the smooth running of the programme, providing administrative, logistical, and communication support. The Coordinator will work closely with athletes, coaches, university partners, and staff to ensure seamless day‑to‑day operations and support the programme’s objectives.
Key Responsibilities
Administrative Support
- Maintain athlete records, visa documentation, insurance updates, and other administrative tasks.
- Assist in preparing reports and updates for internal and external stakeholders.
- Manage correspondence and ensure effective communication with athletes, coaches, and National Federations.
- Organize scheduling for meetings, appointments, and events related to the scholarship programme.
Logistical Coordination
Coordinate transportation and accommodation for scholarship athletes.Assist with travel arrangements for competitions, working closely with coaches and the travel team.Ensure athletes’ dormitory, meal, and transportation needs are met in liaison with relevant departments.Athlete & University Liaison
Support registration for athletes’ academic courses at partner universities.Address athlete queries related to daily logistics, accommodation, and meals.Act as a point of contact to help athletes adjust to life in Bahrain.Financial & Budget Assistance
Assist with budget tracking, financial reporting, invoice management, and payment processing.Monitor compliance with financial regulations and budget guidelines for the scholarship programme.Communication & Reporting
Maintain regular communication with the Programme Manager, athletes, coaches, and stakeholders.Prepare periodic reports on athlete progress, programme operations, and competition outcomes.Collect feedback from athletes and coaches to continuously improve the programme.Event and Competition Support
Assist in planning and executing events, competitions, and travel arrangements.Ensure all logistical details for events and competitions (transportation, accommodation, meals) are fully organized.Miscellaneous Tasks
Provide additional administrative or operational support as needed.Act as backup for the Scholarship Programme Manager when necessary.Profile required
Key Education and Experience
Bachelor’s Degree in Sports Management, Administration, or a related field.At least 2 years of administrative or project support experience, preferably in an international environment.Fluency in English required; proficiency in Arabic or another language is an advantage.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint); experience with project management tools is a plus.Skills and Competencies
Excellent organizational skills, with the ability to manage multiple tasks and priorities simultaneously.Strong communication and interpersonal skills to interact effectively with athletes, coaches, and external stakeholders.Detail‑oriented, with a focus on accuracy in administrative tasks and reporting.Proactive and solution‑oriented approach to challenges.Ability to work independently and as part of a multicultural team in a fast‑paced environment.Flexible working hours, including occasional evenings and weekends for events or travel coordination.Start Date : December 2025
