The role will play a crucial role in overseeing and managing the day-to-day operations of the HR department. The role will be responsible for ensuring the efficient and effective delivery of HR services, processes, and programs that support the organization's overall goals and objectives.
Main Duties
Implementation of HR policies, procedures, and programs that align with the organization's goals and comply with applicable laws and regulations.
Oversee and manage the HR operations, including employee lifecycle processes and requests such as salary certificate, reference letter, employment letter, embassy letter, etc.Ensure accurate and timely HR data management and reporting, leveraging HR information systems (HRIS) or other relevant tools.Maintain up-to-date employee records covering educational certification, valid identifications (national ID card, passport), dependent details, marriage certification, etc.Confirm Cabin Crew and Pilot leave requests and information are updated through AIMS to streamline business operations.Certify employee employment contract expiry and renewal processes to occur on time and effectively.Oversee issuance of joining, annual leave, and repatriation tickets for expatriate employees as per current policy and procedures.Review and approve HR administrative forms such as PTN (Personal Transfer Notification) requests, promotion letters, etc. for all staff.Review and clarify reporting line amendment requests within the organization.Approve employee ID card requests and enrollment of cards.Off Boarding ProcessEnsure all exit formalities are conducted properly and signed off by the concerned system records.
Maintain the off‑boarding process, ensuring deregistration, repatriation for expatriates, training bond clearance, return of company ID cards, airport passes, and medical insurance cards.Ensure the final settlement of the employee is captured, calculated, approved, signed off, and forwarded to Finance Payables for processing.Conduct exit interviews with no pending issues, based on business requirements.Review and approve final settlement TRAF (Tender Request Approval Form) requests.Shift Roaster / PatternCreate, ensure, and maintain the shift pattern in Oracle HRMS system.
Oversee any technical or communication issues that arise.Assign new joiners to the appropriate shift roster.Review the shift allowance reconciliation report to ensure no gaps within the process.Update shift patterns due to shift change and business requirements.Ensure all processes, requests, and inquiries within Gulf Air outstation are appropriately communicated and closed promptly.Resolve any issues raised by the team.Review the monthly absenteeism report to ensure accurate and timely issuance.Ensure staff attendance is followed up and cleared with the employee by the HR Business Operations Team.Maintain proper documentation and record-keeping to meet legal and audit requirements.Continuously evaluate and improve HR processes to enhance efficiency, effectiveness, and employee experience.Oversee adjustments of leave balances, OT, DOIL, Compassion Leave, Marriage Leave, Training Leave, Duty Travel, ATRS etc.Point of ContactOversee and sign off on all promotion and pay progression requests processed on the necessary forms and status change documents.
Oversee all Employment Contract Renewals, ensuring renewal forms are accurately populated and signed, followed by issuance of a contract addendum letter in case of compensation and benefits changes.Attend Employee Relation grievance matters to ensure exit formalities and decisions comply with laws and regulations.Education
Bachelor's degree in human resources, business administration, or a related field.
